Cancellation Policy

We strive to provide our clients with the highest quality of service. To ensure that we can accommodate everyone effectively, we have established the following policies regarding appointment cancellations, rescheduling, and no-shows.

 

1. Notice Period

- **Cancellation or Rescheduling:** Clients are required to provide at least 24 hours' notice if they need to cancel or reschedule an appointment. This allows us to offer the time slot to other clients who may be waiting for an appointment.

2. Cancellation Fees

- **Late Cancellation Fee:** If an appointment is canceled with less than 24 hours' notice, a cancellation fee will be applied. This fee will be a flat fee of $25.

- **Fee Waivers:** We understand that emergencies happen. As a gesture of goodwill, we may waive the cancellation fee for emergencies or first-time cancellations. Clients are encouraged to communicate any such circumstances as soon as possible.

3. No-Show Policy

- **Definition of No-Show:** A no-show is defined as failing to attend a scheduled appointment without prior notice, including not joining a virtual session within 15 minutes of the scheduled start time.

- **No-Show Fee:** The full session fee will be charged for no-shows. This compensates for the reserved time and the opportunity cost of not being able to fill the slot with another client.

4. Rescheduling

- **Encouragement to Reschedule:** We encourage clients to reschedule their appointments rather than canceling them, whenever possible. This helps maintain continuity of service and ensures clients can access the support they need.

- **Complimentary Reschedules:** Each client is allowed one or two complimentary reschedules per calendar year. 

- **Rescheduling Process:** To reschedule an appointment, clients should contact our office directly at info@dansbyassociates.com or use our online booking system, ensuring they provide the necessary notice as outlined above.

5. Refunds:

   -Cancellation and Refund Policy Refunds for canceled appointments are available under the following conditions if the cancellation is made at least 48 hours in advance, a full refund will be issued. However, please note that any deposits paid are non-refundable. If you have any questions regarding this policy, feel free to reach out for clarification.

6. Late Arrivals:

   - Reducing the session time accordingly or needing to reschedule if the client is too late.

7. Emergency Exceptions

- **Policy for Emergencies:** We understand that emergencies and unforeseen circumstances can occur. Exceptions to the cancellation policy may be made at our discretion for situations like medical emergencies, family crises, or other significant events.

- **Evaluation Process:** Clients are encouraged to communicate the nature of the emergency as soon as possible. Each case will be evaluated individually, and any fees may be waived based on the circumstances.

8. Communication

- **Cancellation/Rescheduling Instructions:** Clients can cancel or reschedule appointments by contacting us via info@dansbyassociates.com, or using our online booking link. Please ensure you have your appointment details handy when contacting us.

9. Policy Changes

- **Right to Modify:** We reserve the right to modify this cancellation policy as needed. Clients will be informed of any changes with appropriate notice, ensuring transparency and understanding.

10. Agreement

- **Acknowledgment of Policy:** By booking a session, clients acknowledge and agree to this cancellation policy. This acknowledgment can be done through a checkbox or digital signature when booking online or by confirming verbally over the phone.
